Terms of Service — Wilma

These terms set out the conditions for using Wilma, including account responsibilities, connected integrations, service limits, and customer obligations.

1. Introduction

These Terms of Service (“Terms”) govern access to and use of Wilma, including our website, recruitment workflows, applicant tracking features, and related integrations.

By accessing or using Wilma, you agree to these Terms. If you are using Wilma on behalf of an organisation, you confirm that you have authority to bind that organisation to these Terms.

Wilma is currently operated as an early-stage service by Brendan Marry from Rüschlikon, Switzerland. This policy will be updated if Wilma transitions to a registered legal entity.

2. The Service

Wilma provides software for recruitment and hiring operations, including candidate applications, communication workflows, scheduling support, and recruiter collaboration.

We may update, improve, or modify the service from time to time. We may also suspend access where necessary for maintenance, security, or legal compliance.

3. Accounts

Users are responsible for:

  • Providing accurate account information
  • Maintaining the confidentiality of login credentials
  • Restricting access to their account and connected integrations
  • Promptly notifying Wilma of unauthorised access or suspected misuse

You are responsible for all activity carried out through your account unless caused by our failure to maintain appropriate security controls.

If you are the administrator for an organisation account, you are also responsible for managing invitations, connected integrations, and any transfer of admin access to another authorised user before you leave the account.

4. Customer Responsibilities

Organisations using Wilma are responsible for:

  • Ensuring they have a lawful basis to process candidate and employee data
  • Configuring access controls appropriately within their organisation
  • Using Wilma in compliance with employment, privacy, and anti-discrimination laws
  • Ensuring communications sent through Wilma are lawful and appropriate

Customers are also responsible for the hiring decisions they make using information surfaced through Wilma.

5. Connected Email and Calendar Services

Wilma may allow users to connect third-party services such as Google Workspace and Microsoft 365 using OAuth.

By connecting these services, you authorise Wilma to use approved permissions to:

  • Send recruiter emails on your behalf
  • Read candidate-related email replies where enabled
  • Support interview scheduling and booking workflows

You may revoke connected-account access through Wilma settings or through the relevant third-party provider.

For Google connections, Wilma may request basic sign-in scopes openid, email, and profile together with the Gmail and Calendar scopes required for email and booking workflows gmail.send, gmail.readonly, calendar.readonly, and calendar.events.readonly.

6. Acceptable Use

You may not use Wilma to:

  • Violate any law, regulation, or third-party right
  • Upload or distribute malicious code
  • Interfere with or disrupt the service
  • Attempt to gain unauthorised access to other accounts or systems
  • Use the platform for spam, unlawful discrimination, or fraudulent hiring activity

7. Data Protection and Privacy

Our handling of personal data is described in our Privacy Policy. Where Wilma processes personal data on behalf of an organisation, that organisation acts as the data controller and Wilma acts as the data processor.

8. Account Deletion and Access Removal

Users may delete their account through Wilma settings, which removes their access and revokes connected access where applicable.

If you are the last administrator for an organisation, deleting your account may also remove the organisation and its data from Wilma. You should transfer admin access to another authorised user before leaving the account if the organisation should remain active.

9. Intellectual Property

Wilma and its related software, branding, content, and platform features are owned by Wilma or its licensors and are protected by applicable intellectual property laws.

Subject to these Terms, we grant customers a limited, non-exclusive, non-transferable right to use the service for their internal business recruitment purposes.

10. Service Availability and Changes

We aim to provide a reliable service but do not guarantee uninterrupted or error-free operation at all times.

We may change or discontinue features where reasonably necessary, including for security, compliance, or product improvement.

11. Disclaimers

Wilma provides workflow, communication, and AI-assisted recruitment tools. Wilma does not make hiring decisions on behalf of customers and does not guarantee candidate suitability, hiring outcomes, or legal compliance for customer hiring processes.

12. Limitation of Liability

To the maximum extent permitted by law, Wilma will not be liable for indirect, incidental, special, consequential, or punitive damages, or for any loss of profits, revenues, data, or goodwill arising from use of the service.

To the maximum extent permitted by law, Wilma’s total liability arising out of or in connection with the service will be limited to the amount paid by the customer for the service in the 12 months preceding the event giving rise to the claim.

13. Termination

We may suspend or terminate access where you materially breach these Terms, create security or legal risk, or misuse the platform.

Customers may stop using the service at any time. Certain provisions, including those relating to liability, intellectual property, and legal rights, will survive termination.

14. Governing Terms and Updates

We may update these Terms from time to time. Updated terms will be posted on this page with a revised “Last updated” date. Continued use of Wilma after updated terms are published constitutes acceptance of those updated terms.
